Description of the job
Job Type: Casual to Permanent Full-Time (4-5 days/week)

Hybrid Work: 2-3 days WFH + 2 days in-clinic
Glow Orthodontics is a specialist orthodontic clinic in Burwood, led by Dr Jessica Yeo. We deliver life-changing smiles with clarity, care and confidence — using modern digital workflows and a warm, team-based approach. We value creating incredible patient experiences, open communication, and supporting each other as we grow.
As our practice expands, we’re looking for a new team member who can own and manage key admin responsibilities and enhance our patient journey — with confidence and compassion.
The RoleThis is a dynamic and meaningful position where you’ll support both front-of-house and behind-the-scenes operations. You’ll be trusted with:
Managing reception and greeting patients warmly
Answering new patient enquiries and converting leads into bookings
Coordinating treatment plans and follow-ups with clarity and empathy
Handling phone calls, emails and day-to-day clinic communication
Ordering supplies and maintaining practice admin systems
Supporting Dr Jess by taking ownership of non-clinical tasks
Using initiative and judgement when working remotely
A confident communicator with a warm, polished tone
Experienced in dental, medical or patient-facing admin (3+ years ideal)
Organised, independent and proactive — not needing micro-management
Comfortable with light sales and patient follow-up conversations
Tech-savvy and able to work across digital systems
Someone who enjoys building trust with families and young patients
Aligned with our clinic values: clear communication, genuine care for people, and a team mindset where everyone takes pride in doing great work together
4-5 full working days per week (flexible schedule)
2 days in-clinic (Burwood) + 2-3 days work from home
Initial probation period casual (3 months) with opportunity to convert to permanent full-time
Structured training provided, with onboarding support and growth pathways
Starting casual hourly rate: $35–$40/hr depending on experience
After successful onboarding: opportunity for full-time employment with leave entitlements
Regular check-ins and performance reviews
Stable hours, meaningful work and a high-trust team culture
If you’re ready to bring your strengths to a team that genuinely values people — both patients and staff — we’d love to hear from you.
